Whiteboards on every project

A new Whiteboards tab gives every project a place to think out loud.

  • Draw what's hard to write — shapes, sticky notes, arrows, free drawing, text and pasted images, on an open canvas for brainstorms, flowcharts, sitemaps and wireframes
  • Saved automatically — every change is kept as you go; if two people edit the same board at once, nothing is overwritten and you can keep your version as a copy
  • Share with clients when you're ready — boards are team-only until an admin marks one as visible to clients, who can then view it but not edit
  • Export — download a board as PNG or SVG
  • Per plan — 3 whiteboards per project on Starter, 10 on Team and 30 on Business

Custom tables, a busier calendar, search and reminders

A big batch of features for the way teams actually run projects day to day.

  • Custom tables — a new Tables tab on every project for clients, vendors, work logs or anything else that isn't a task. Text, number, date, checkbox and dropdown columns, ready-made templates, search and filters, CSV import and export, and PDF export
  • Calendar events and new views — add timed events that stay off the board, and switch between month, week and agenda views
  • Search with Ctrl+K — find projects, tasks, discussions, files, folders, tables and events from anywhere in a workspace
  • Reminders — assignees get notified when a task is due tomorrow, due today or overdue, and you get a nudge shortly before an event you created starts
  • Assignment notifications — know the moment someone assigns you a task
  • Budget reports — export a project's filtered transactions as a PDF, and record amounts to the cent
  • Activity and Performance — search and filter the activity log, and see completed tasks, on-time rate and average completion time per member
  • Works on your phone — the whole dashboard now adapts to small screens

Budgets, workspace currency, and archived discussions

The budget tracking most agencies were doing in a spreadsheet next to Toadflow now lives inside it.

  • Log income and expenses against a project's budget and see net and remaining at a glance
  • A workspace-level budget overview rolls up every project's numbers in one place (Admin-only)
  • Pick the currency your workspace works in instead of a fixed default
  • A "Save changes" button on workspace settings, so you always know your changes actually saved
  • Archive a discussion the same way you can archive a project — hide it from the active list without deleting anything, with pagination on longer discussion and budget lists

Archiving and storage quotas

Two pieces of housekeeping for workspaces that have been running for a while.

  • Archive a project you're done with instead of deleting it — it disappears from your active list but stays fully intact and reachable, and an admin can unarchive it anytime
  • Every workspace now shows its file storage usage against a quota in Settings

Simpler roles, more consistent layout

A round of simplification: one fewer role to reason about, and workspace and project pages that now look and behave the same way.

  • Removed the separate "Owner" role — every Admin now has equal, full access to a workspace
  • The workspace overview page now matches the project page's layout, with project management actions consolidated into the Settings tab

Project members, roles, and multiple assignees

The access-control foundation that everything else in Toadflow builds on.

  • Workspace roles: Admin, Member and Client, with an editable member list and confirmation dialogs before anything destructive
  • A dedicated Settings tab per project (name, description, delete) restricted to Admins
  • Projects now have their own member list — Members and Clients need to be explicitly added to a project before they can see it, so a Client only ever sees the projects meant for them
  • Tasks can have more than one assignee at a time

A real message board, rich text everywhere

Discussion got a proper home, and writing anything in Toadflow got a lot nicer.

  • New message board: titled posts, freeform categories, and threaded replies with unread badges
  • Each message now has its own dedicated page, so long discussions are easy to link to and revisit
  • A rich text editor (bold, headings, lists, links, quotes, code) for task descriptions, messages and replies, including @mentions in replies
  • Every icon across the app switched from placeholder text/emoji to a consistent icon set

Boards, tasks, and team collaboration

The first version of Toadflow: workspaces, projects, and a Kanban board to run them on.

  • Create a workspace, invite teammates by email, and organize work into projects
  • Kanban board with drag-and-drop task cards across To Do, In Progress and Done
  • Comments on tasks, with in-app notifications when you're mentioned or commented on
  • File attachments on projects and tasks
  • List and calendar views, and a "My Tasks" page grouping everything assigned to you by due date
